Terms & Conditions

Please read the following important terms and conditions (Terms) before you use this website (Website) or make a Booking with us and check that they contain everything you want and nothing that you are not willing to agree to. These Terms govern your Booking and participation in connection with our Event. By making a Booking you agree to be bound by these Terms. If you do not agree to these Terms then you must not use our Website or make a Booking.

In these Terms:

  • ‘we’, ‘us’ or ‘our’ means ESF Events Limited (trading as ESF Events), a company registered in England and Wales under company number: 07695303. Our registered office is at 18a Park Lane, Melton Mowbray, United Kingdom, LE13 0PT
  • ‘you’ or ‘your’ means the Team(s) represented by the Group Leader accessing and using our Website to make a Booking or make a Booking in accordance with clause 2.4
  • Accommodation Booking means the reservation for accommodation made by the Group Leader or Participants and made in accordance with these Terms
  • Booking means an Event Booking and/or Accommodation Booking and/or Transport Booking (as applicable)
  • Event means a sports event, tour, tournament or festival organised by us and which shall include the event programme and presentation ceremonies
  • Event Booking means the reservation made by the Group Leader for the Event and made in accordance with these Terms
  • Group Leader means the individual acting on behalf of the Team they have named on our team registration form or by telephone in connection with the Event Booking
  • Guardians means the parents, guardians, teachers or responsible adults accompanying the Players and other children at the Event
  • Participants means the Guardians, Players, club officials, spectators, children and any other individuals in connection with the Team or Players to attend or take part in the Event
  • Players means the children you have named as players in our player registration form and who we have approved in writing (including any players who we agree in writing to be added at a later date)
  • Team means the relevant sports club, school, team, organisation, group or association named on our team registration form or by telephone in connection with your Event Booking with us
  • Transport Booking means a transport booking made in accordance with clause 4.13.

If we need to contact you, we will do so by sending an email to the email address or calling you on the telephone number that your Group Leader provided to us.

If you require assistance during the Event or if you have any concerns, please contact our representatives at the Event, and they will provide you with assistance as soon as reasonably possible. Details of how to locate such representatives will be provided to the Group Leader prior to the Event.


1.  Introduction

1.1
If you use our Website you agree to be legally bound by these Terms.

1.2
These Terms are only available in English. No other languages will apply to these Terms.

1.3
When making a Booking you agree to be legally bound by:

1.3.1
our Terms and any documents referred to in them; and

1.3.2
extra terms which may add to, or replace some of, these Terms. We will contact you to let you know if we intend to do this.

All of the above documents form part of these Terms as though set out in full here.

1.4
By making a Booking, you confirm that you have communicated these Terms to your Participants and that all such Participants agree to abide by them.

1.5
References to clauses are to clauses of these Terms.

1.6
References to the singular includes a reference to the plural and vice versa.

1.7
References to writing include email but not fax.


2. Event Booking

2.1
An Event Booking can only be made by a Group Leader who is duly authorised representative of their Team. The Group Leader confirms that they have obtained the necessary consents from Participants, their Team before making an Event Booking. The Group leader confirms that they will obtain permission from the relevant football association (if required by us) to attend the Event and you will provide us with proof of such permission if requested by us.

2.3
Below, we set out how a legally binding contract between you and us is made in connection with an Event Booking.

2.4
Subject to availability, you can make an Event Booking by either:

2.4.1
calling us on 01664 566360 Monday to Friday 9.30am – 5pm and speaking with a member of our team to complete the requested details for the Event Booking and paying the relevant registration fee; or

2.4.2
you download, complete and return the team registration form which can be found here https://www.footballfestivals.co.uk/how-to-book/  please read and check this form carefully before submitting it. You will also be required to pay the relevant registration fee.

2.5
At our discretion, we may reject your Event Booking and in this case we will contact you to say we do not accept your Event Booking.

2.6
It is a condition of entering our Event that the Group Leader and all Participants book accommodation for the Event in accordance with these Terms. In the event that accommodation is not booked in accordance with these Terms, we are entitled to cancel your Booking. We are also entitled to prohibit Participants, individuals and the entire Team from entry, attendance and participation at the Event.

2.7
If the condition specified in clause 2.6 is not met and we cancel your Booking, we will not refund you any payments that you have made to us. Furthermore, we will not be liable for any additional costs or expenses incurred by you or your Participants as a result of any action taken by us including but not limited to transportation, clothing, equipment, food and other expenses.

2.8
We will only accept your Event Booking when we email you to confirm this (Event Booking Confirmation Email). At this point a legally binding contract will be in place between you and us in relation to the Event Booking.

2.9
If you would like to make any changes to your Event Booking after the Event Booking Confirmation Email, please contact us as soon as possible and we will let you know if it’s possible to change your Event Booking. Please note, it may not be possible to make such changes. If we are able to make changes at your request, we may charge you for fees that we incur.


3. Provisional Event Bookings

3.1
Subject to availability, you may make a provisional Event Booking by emailing us at info@footbalfestivals.co.uk or by calling us on 01664 566360 Monday to Friday 9.30am – 5pm and speaking with a member of our team. A provisional Event Booking does not guarantee the Event Booking is confirmed until we send you an Event Booking Confirmation Email.

3.2
If we accept your provisional Event Booking we will acknowledge it by email. This acknowledgment does not however mean that your provisional Event Booking has been accepted by us as a confirmed Event Booking.

3.3
To convert a provisional Event Booking into a confirmed Event Booking, please complete the Event Booking process by following the steps described at clause 2.4 within the time period specified by us which will be no more than 14 (fourteen) days of the date of the acknowledgement email described at clause 3.2. This involves providing all necessary details and paying the correct registration fee. If you fail to complete the Event Booking process within the time period specified by us, the provisional Event Booking will be automatically cancelled without further notice. We reserve the right to offer the Event to other clubs at our discretion.


4. Accommodation & Transportation Bookings

4.1
Once we have accepted your Event Booking and sent you an Event Booking Confirmation Email:

4.1.1
for Teams and all Participants attending an Event at Butlin’s and Hilton Hotel venues, we will email the Group Leader with a unique accommodation booking web link shortly after we have emailed the Event Booking Confirmation Email. You are responsible for forwarding this booking link to the Participants for them to book accommodation for the Event by the timescales specified by us, which is normally within 3 (three) weeks of receiving booking link; or

4.1.2
for Teams and all Participants attending an Event at Haven venues, we will email the Group Leader an accommodation booking form as soon as possible after we send them the Event Booking Confirmation Email. The Group Leader will be responsible for booking accommodation for all the Participants using the accommodation booking form from us by the timescales specified by us, which is normally within 3 (three) weeks of receiving the booking form.

4.2

4.3
Non-refundable deposits of £30 (thirty pounds) per person are required at the time of your Accommodation Booking for Butlin’s and Haven venues.

4.4
If you make an Accommodation Booking in accordance with clause 4.1.1:

4.4.1
Butlin’s only accept your Accommodation Booking when they email you to confirm this; and

4.4.2
you confirm you accept Butlins terms and conditions which will have been provided to you.

4.5
If you make an Accommodation Booking with Hilton Hotel in accordance with clause 4.1.1 or at Haven in accordance with clause 4.1.2:

4.5.1
your Accommodation Booking is confirmed when we email you to confirm this; and

4.5.2
you confirm you accept the terms and conditions for Haven and Hilton Hotel     which will have been provided to the Group Leader.

4.6
Accommodation is provided by third party providers. While we facilitate the Accommodation Booking process, we are not responsible for the services, acts or omissions of these third parties.

4.7
If your Accommodation Booking is with Butlin’s and you encounter any difficulties before or during your stay, please contact Butlin’s at the contact details they provide to you in your confirmation email.

4.8
If your Accommodation Booking is with Haven or Hilton hotel and you encounter difficulties before your stay, please contact us by emailing us at info@footbalfestivals.co.uk or by calling us on 01664 566360 Monday to Friday 9.30am – 5pm and speaking with a member of our team. If you encounter difficulties during your stay, please contact the customer service team at the Haven Holiday Park or the customer service team at the Hilton Hotel.

4.9
If you would like to make any changes to your Accommodation Booking:

4.9.1
in relation to accommodation at Butlin’s, please contact Butlin’s directly in accordance with their terms and conditions to see if it’s possible to change your Accommodation Booking; and

4.9.2
in relation to accommodation at Haven and Hilton hotel, please email us at info@footballfestivals.co.uk and we will contact the relevant providers on your behalf to let you know if it’s possible to change your Accommodation Booking. Please note, it may not be possible to make such changes. If we are able to make changes at your request, we may charge you for fees that we incur.

4.10
Each Participant who a confirmed Accommodation Booking has been made for will receive an event wristband from us when they check in at the relevant accommodation. Each Participant should retain this wristband throughout attendance at the Event. If Participants do not have their event wristbands then they may be refused entry or removed from the Event. If this occurs, we will not refund you any payments that you have made to us. Furthermore, we will not be liable for any additional costs or expenses incurred by you or your Participants as a result of any action taken by us including but not limited to transportation, clothing, equipment, food and other expenses.

4.11
You are responsible for ensuring that the Group Leader and  your Participants book the accommodation by the timescales provided by us. Late Accommodation Booking may not be accommodated and failure to book by the specified deadline may lead to us cancelling the Event Booking for the relevant Participants or the whole Team and will result in refusal of entry and participation at the Event. If this occurs, we will not refund you any payments that you have made to us. Furthermore, we will not be liable for any additional costs or expenses incurred by you or your Participants as a result of any action taken by us including but not limited to transportation, clothing, equipment, food and other expenses.

4.12
Save for transportation bookings made in accordance with clause 4.13, transportation is not provided by us, you and your Participants are responsible for arranging and managing transportation in connection with the Event.

4.13
For teams and all Participants attending an Event at Ayr, prior to the Event, we will email the Group Leader a transport booking form in relation to a bus service from a said destination to the Event. The Group Leader will be responsible for booking such transportation for all the Participants using the transport booking form from us by the timescales specified by us.

4.14
If you make a Transport Booking:

4.14.1
your Transport Booking is confirmed when we email you to confirm this; and

4.14.2
you confirm you accept the terms and conditions of the third party transport provider, which will have been provided to the Group Leader.

4.15
Transportation is provided by third party providers. While we facilitate the Transport Booking process, we are not responsible for the services, acts or omissions of these third parties.


5. Booking General

5.1
By making a Booking, you confirm that:

5.1.1
all Players are eligible in accordance with our criteria to take part in the Event, this qualification and eligibility criteria can be found here

5.1.2
you have obtained the necessary consents from your Team and other organisations or relevant football associations (if required) to attend the Event.

5.1.3
you have obtained the necessary consents from the Participants for whom the Booking is made;

5.1.4
you have carried out Disclosure and Barring Service checks where appropriate, in line with FA guidelines (or appropriate National Governing Body for team not from England) for the Team who will attend the Event and they have been passed, click here to see our safeguarding policies.

5.1.5
you have followed and complied with all applicable laws and regulations;

5.1.6
the Group Leader is duly authorised by the relevant Team to make the Booking;

5.1.7
the Group Leader is aged 18 or above;

5.1.8
you have communicated these Terms to your Participants and all Participants have confirmed to you that they agree to abide by them;

5.1.9
you have communicated our policies and procedures which can be found here [link] to your Participants and all Participants have confirmed to you that they agree to abide by them

5.1.10
you have provided information to us and will continue to provide information to us that we may request from time to time that is true and accurate in all respects;

5.1.11
you will notify us of any changes to any information that you have provided as soon as possible;

5.1.12
any requests for further information, or in relation to Accommodation Booking or Transport Booking by us will be met by the timescales requested by us;

5.1.13
there have been no acts of misconduct by the Team or any Participant at any previous events or festivals that are similar to the Event and/or any league or cup fixtures or competitions in the period 12 (twelve) months prior to the Event; and

5.1.14
all Participants have confirmed to you that they are medically fit to participate and attend the Event and you are satisfied that such confirmation is true and correct and remains so at the Event.

5.2
It’s your responsibility to ensure that all information provided by you in connection with the Booking and Event is true and accurate and provided to us by the timeframes specified by us. If we do not receive the requested information by the timescales specified by us, or if we find any information to be unsuitable or inaccurate resulting in us deciding inability to participate in the Event, we will cancel your Booking for the Team or request that certain Participants are removed from the Event or replaced. In such circumstances, we will not refund you any payments that you have paid to us.

5.3
In addition to clause 5.2, we will not be liable for any additional costs, expenses or other sums incurred by you or your Participants as a result of our refusal of entry, attendance or removal of any individuals at the Event under any circumstances, including but not limited to accommodation, transportation, clothing, equipment, food and other expenses and sums.


6. Cancellation by you

6.1
If you need to cancel your Event Booking after the Event Confirmation Email or after making your Event Booking, your Group Leader must email us immediately at info@footballfestivals.co.uk and notify us of the cancellation. In such circumstances, the registration fee that was paid to us in connection with the Event Booking is non-refundable. We may also charge you for any Accommodation Booking and/or Transport Booking together with any charges incurred or demanded by any connected third parties.

6.2
The Event Booking cancellation will be effective from the date that we acknowledge receipt of the Event Booking cancellation by email.

6.3
If your Group Leader or your Participants have made an Accommodation Booking with Butlin’s in accordance with clause 4.1.1 and you need to cancel this, they must inform Butlin’s immediately in accordance with its terms and conditions to notify them of the cancellation.

6.4
Accommodation Booking cancellation with Butlin’s will be in accordance with their terms and conditions.

6.5
If you have valid Butlin’s Holiday Protection and you are cancelling for sickness, redundancy, jury service or bereavement, Butlin’s accommodation refunds policy is as follows:

6.5.1
cancellations made between 2 (two) days 48 (forty eight) hours or more prior to the Event, a full refund of accommodation fees paid to Butlin’s minus a cancellation charge of £65 (sixty five pounds) per accommodation unit and cost of Butlin’s Holiday Protection;

6.5.2
cancellations made between 2 (two) days 47 (forty seven) hours 59 (fifty nine) minutes or less before the Event, 30% (thirty percent) refund of accommodation fees paid to Butlin’s and cost of Butlin’s Holiday Protection.

6.6
If you have valid Butlin’s Holiday Protection and you have made an Accommodation Booking with Butlin’s and you need to cancel this for any other reason Butlin’s accommodation refunds policy is as follows:

6.6.1
cancellations made between 70 (seventy) days or more prior to the Event, a full refund of accommodation fees paid to Butlin’s minus a cancellation charge of £65 (sixty five pounds) per accommodation unit and cost of Butlin’s Holiday Protection

6.6.2
cancellations made between 69 (sixty nine) and 43 (forty three) days prior to the Event, 70% (seventy percent) refund of accommodation fees paid to Butlin’s minus a cancellation charge of £65 (sixty five pounds) per accommodation unit and cost of Butlin’s Holiday Protection

6.6.3
cancellations made between 42 (forty two) and 29 (twenty nine) daysprior to the Event, 50% (fifty percent) refund of accommodation fees paid to Butlin’s minus a cancellation charge of £65 (sixty five pounds) per accommodation unit and cost of Butlin’s Holiday Protection

6.6.4
cancellations made between 28 (twenty eight) and 8 (eight) days prior to the Event, 10% (ten percent) refund of accommodation fees minus a cancellation charge of £65 (sixty five pounds) per accommodation unit and cost of Butlin’s Holiday Protection

6.6.5
cancellations made between 7 (seven) days or less prior to the Event, no refund.

6.7
If your Group Leader has made an Accommodation Booking with Haven or Hilton Hotel in accordance with clauses 4.1.1 or 4.1.2 and you need to cancel this, you must email us immediately at info@footballfestivals.co.uk to notify us of the cancellation, such cancellation will be effective from the date that we acknowledge receipt of the Accommodation Booking cancellation by email and the following refund policy will apply:

6.7.1
cancellations made between 70 (seventy) days or more prior to the Event, a full refund of accommodation fees , minus the deposit

6.7.2
cancellations made between 69 (sixty nine) and 43 (forty three) days prior to the Event, 30% (thirty percent) refund of your accommodation fees plus the deposit

6.7.3
cancellations made between 42 (forty two) and 29 (twenty nine) days prior to the Event, 50% (fifty percent) refund of your accommodation fees plus the deposit

6.7.4
cancellations made between 28 (twenty eight) days or less prior to the Event, no refund

6.8
We will not be liable for any additional costs or expenses incurred by you or your Participants as a result of cancellation under any circumstances, including but not limited to transportation, equipment, clothing and other expenses.


7. Changes or Cancellation by us

7.1
We reserve the right to make minor changes to the Event. Minor changes include but are not limited to changes to itinerary that do not significantly alter the overall experience of the Event. You are not entitled to any payment for any sums for insignificant changes.

7.2
If we make significant changes to the Event such as venue, or dates, we will notify the Group Leader as soon as possible and provide the Group Leader with an option to:

7.2.1
accept the proposed changes; or

7.2.2
cancel the Booking with repayment of all payments that you have made to us in connection with the Booking; or

7.2.3
give you an option to accept an alternative Event.

7.3
We will notify your Group Leader of the timescales you must inform us of your decision and what happens if we do not receive your outcome.

7.4
If you choose to cancel your Booking under clause 7.2.2, we will refund you all payments that you have made to us in respect of the cancelled Booking within 28 (twenty eight) days of the cancellation.

7.5
Any change or cancellation under this clause 7 is effective from the date we send the Group Leader an email confirming the change or cancellation.

7.6     
If a change to the Event or cancellation occurs pursuant to this clause 7, we will not be liable for any additional costs or expenses incurred by you or your Participants as a result of cancellation under any circumstances, including but not limited to accommodation, transportation, equipment, clothing and other expenses/sums.


8. Events beyond our reasonable control

8.1
We cannot accept liability or pay any compensation, refund or other sums for an event or sequence of events beyond our reasonable control preventing us or delaying us from performing our obligations under these Terms, including without limitation: strikes, lock-outs, labour disputes, acts of God, natural disasters, war, riots, civil commotion, malicious damage, imposition of sanctions, embargo, law, governmental order, rule, regulation or direction, accident, fire, explosion, building collapse, flood, drought, storm, pandemic or epidemic, nuclear or chemical or biological contamination, terrorism, adverse weather, closure of facilities such as venues and transportation, insufficient numbers, decisions by the relevant football association, decisions by any third party including but not limited to: accommodation provider, venue provider, transport provider, decisions of other teams or participants not to fulfil fixtures, not turning up to the Event, cancellation or withdrawal from the Event.

8.2
Clauses 7.2, 7.3 and 7.4 shall not apply where we change or cancel the Event due to an event or events occurring pursuant to clause 8.1.


9. Payment

9.1
Prices for our Events, accommodation and timescales for payment are set out on our Website www.footballfestivals.co.uk . All prices are in pounds sterling (£)(GBP) and include VAT at the applicable rate.

9.2
Prices for our Event and accommodation may change at any time. Except as set out in clause 8.3 below, such changes will not affect existing Event Bookings that we have approved in our Event Confirmation Email.

9.3
If there has been an error on the ESF Events or Butlin’s website regarding the pricing of any of our Events or accommodation and this affects your Booking, we will try to contact you using the contact details you provided when you placed your Booking. We will give you the option to re-confirm your Booking at the correct price or to cancel your Booking. If we are unable to contact you, we may treat the Booking as cancelled and notify you by email.

9.4
We accept payment by credit cards and debit cards (excluding American Express). All credit card and debit card payments need to be authorised by the relevant card issuer. We also accept payment by bank transfer and cheques.

9.5
We will do all that we reasonably can to ensure that all of the information you give us when paying for the services is secure by using an encrypted secure payment mechanism. However, in the absence of negligence on our part, any failure by us to comply with these Terms or ourPrivacy Policy or breach by us of our duties under applicable laws, we will not be legally responsible to you for any loss that you may suffer if a third party gains unauthorised access to any information that you give us.

9.6
If your payment is not received by us when due, we may charge interest on any balance outstanding at the rate of 3% (three percent) per year above Santander Bank PLC’s base rate.


10. Privacy and Data Protection

10.1
OurPrivacy Policy is available here.

10.2
Your privacy and personal information are important to us. Any personal information that you provide to us will be dealt with in line with ourPrivacy Policy, which explains what personal information we collect from you, how and why we collect, store, use and share such information, your rights in relation to your personal information and how to contact us and supervisory authorities if you have a query or complaint about the use of your personal information.

10.3
By providing personal data, you confirm that you have obtained the necessary consent from all the Participants for the processing of such data.


11. Financial Protection

11.1
The Association of Bonded Travel Organisers Trust Limited (ABTOT) provides financial protection under The Package Travel and Linked Travel Arrangements Regulations 2018 for ESF Events Limited number 5165 and in the event of their insolvency, protection is provided for:Non-flight packages

11.2
Bookings with and payments made directly to Butlins are not covered by ABTOT.

11.3
Non-flight packages

11.4
Bookings not purchased directly with ESF Events Limited as Principal to the contract are not covered by ABTOT.

11.5
ABTOT cover provides for a refund in the event you have not yet travelled or repatriation if transportation was included in your package.  In the unlikely event that you require assistance whilst abroad due to our financial failure, please call our 24/7 helpline on 01702 811397 and advise you are a customer of an ABTOT protected travel company.

11.6

12. Limitation of our liability

12.1
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence or any other liability which cannot be excluded or limited under applicable law.

12.2
Subject to clause 12.1, our total liability to you in respect of all other losses arising under or in connection with the Event, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall in no circumstances exceed the total amount paid by the Group Leader for the Booking or £[specific amount], whichever is greater.

12.3
We shall not be liable to you for any of the following types of losses or damage whether in contract, tort (including negligence), breach of statutory duty or otherwise:

12.3.1
losses that were not foreseeable to you and us at the date of the Event Booking Confirmation Email;

12.3.2
losses that were not caused by any breach on our part;

12.3.3
business losses;

12.3.4
any indirect or consequential loss or damage

12.3.5
losses arising out of any equipment or property at the Event

12.3.6
losses arising out of any theft, damage, destruction or loss of any equipment or possession at the event

12.3.7
losses arising as a result of any acts or omissions of Participants, Team or Group Leaders or any other attendees or participants.

12.4
You and Participants must take all reasonable precautions to protect personal property. Subject to clause 12.1, we accept no liability for loss or damage to personal property or vehicles brought to the Event.

12.5
We may provide web links to or information about third party services that may be of interest to the Team and Participants. We are not responsible for and do not endorse the content of such third party services, and we accept no liability for any loss or damage that may arise from Participants’ use of them.

12.6
We are not responsible for the actions, omissions or obligations of third parties including but not limited to venue providers, accommodation providers and transportation services. Any issues, disputes or claims related to third party services must be resolved with the third party involved.

12.7
We are not responsible for the acts or omissions of the Participants during the Event.

12.8
We do not provide insurance cover for you or Participants. You are responsible for ensuring that adequate travel, accommodation and personal accident/ injury insurance is in place for all Participants to cover the activities involved in the Event. You must provide us with proof of coverage if requested by us.

12.9
We are not liable to you if we fail to comply with these Terms because of circumstances beyond our reasonable control.

12.10
You agree to be responsible for all acts and omissions of the Participants and you agree to indemnify us against any claims, damages, or expenses arising from the acts or omissions of the Participants during the Event.


13. Photography and Videography

13.1
During the Event, filming photography and broadcasting may take place, which may capture you and Participants in images and/or recordings for information about how such personal information will be used, please see our Privacy Policy

13.2
By attending the Event, all Participants consent to being photographed and filmed by us or our authorised representatives and to record and use their voice, image and likeness captured by any means (including using mobile devices, telephones and cameras) during, at or around the Event. This may be used in photographic images and/or films for promotional and marketing purposes, including but not limited to, use on our Website, social media platforms, brochures and other promotional materials

13.3
By placing the Booking, you confirm that you have obtained the necessary consents from or on behalf of all of the Participants for their participation and attendance at the Event and for their images to be used as described in this clause 13.

13.4
If any Participant does not wish to be photographed or filmed, you must inform us in writing 14 days before the Event. 14. Disputes & Complaints

14.1
We will try to resolve any disputes with you quickly and efficiently. If you are unhappy with the services we have provided or any other matter, please contact us as soon as possible using the contact details set out at the top of this page.

14.3
The laws of England and Wales apply to these Terms.

14..4
Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.


15. Conduct at our Event and Ratios

15.1
All Participants are expected to conduct themselves in a respectful and considerate manner during the Event. Our Code of Conduct can be found here .

15.2
In addition to the Code of Conduct mentioned at clause 15.1, the following requirements outline the behaviour and conduct expected of all Participants:

15.2.1
each Participant must show respect to fellow Participants, local communities, referees, ESF Events staff, Butlin’s and Haven and Hilton staff, and other individuals. Any form of abusive, discriminatory, or disruptive behaviour will not be tolerated;

15.2.2
Participants must comply with all instructions and guidelines provided by us and our This includes health and safety instructions and local laws and regulations;

15.2.3
the possession and use of illegal substances is strictly prohibited during the Event. Participants found to be in possession of or under the influence of any illegal substances may be removed from the Event without refund;

15.2.4
Participants are responsible for any damage they cause to property or equipment during the Event. You agree to indemnify us for any losses, damages liability, cost and expenses incurred due to such damage;

15.2.5
Participants are expected to be punctual and adhere to the scheduled itinerary. Delays caused by individual Participants may result in the group missing scheduled activities including tournament fixtures, for which we will not be held liable;

15.2.6
Participants are expected to dress appropriately for the activities involved in the Event. This includes wearing suitable clothing and footwear for sports and leisure activities. If we decide that the Participants are dressed unsuitably for the said activity then they will not be able to take part in the relevant sports and leisure activities without refund;

15.2.7
the minimum adult to child ratios which are 1-2 at Butlins venues and 1-3 at Haven and Hilton Hotel venues and at least one responsible adult aged 21 or above must occupy each unit of accommodation.

15.3
By making the Booking, you confirm that you have communicated clauses 15.1 and 15.2 to all your Participants and that all Participants agree to abide by them.

15.4
Failure to adhere to clauses 15.1 and 15.2 may result in the offending Participant(s) and any connected Player(s) and/or other individual(s), Team being removed from the Event at our discretion, without any right to a refund, compensation or other sums. In such cases, you will be responsible for arranging alternative travel and accommodation for the removed Participant(s).


16. Intellectual Property

16.1
All content on our Website, including text, graphics and logo is our property and is owned or licensed by us.

16.2
You may not modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer, or sell any information, or services obtained from the Website without our prior written consent.


17. General terms

17.1
You are not allowed to transfer your rights under these terms to anyone without our prior written consent. We may transfer our rights under these terms to another business without your consent, but we will notify you of the transfer and make sure that your rights are not adversely affected as a result.

17.2
If any provision of these terms (or part of any provision) is or becomes illegal, invalid or unenforceable, the legality, validity and enforceability of any other provision of these terms will not be affected.

17.3
We reserve the right to amend these Terms at any time, you will be notified of any changes.

17.4
By making a Booking and/or participating in the Event, you acknowledge that you have read, understood and agree to be bound by these Terms.
